What is the Apex Self Service Module?

Apex Self Service Module will allow guests to get information and update their details which reception would normally do for them.
The Module allows an ordinary workstation or a touch screen terminal to be set up for guest-use.  It was designed with on-screen keyboards so that only a mouse would be required at a workstation if a touchscreen were not available so that the surfaces would be easier to sanitise.

The main aim is to minimise contact between the guest and reception staff and, with some basic hardware additions, eliminate the exchange of passport/ID, registration cards, pens etc. between staff and the guest. The Module is complimentary.

1. What is Required?
  1. Apex Version 2.45 revision 0512 or above.
  2. A Workstation that has access to the server and shortcut can be created. This can be on a Windows tablet, Laptop or PC with a monitor and mouse.
  3. Printer Connected to workstation for self service module.
  4. SMTP details for emailing of bills for guests.

2. Features

2.1 Guest Services
  1. Guests may use a combination or their last name and Confirmation Number, ID Number, Passport number, Loyalty Number or Rewards Number to find their booking.
  2. Guests will be able to edit their details.
  3. Read any messages left for them or communicated to them by the hotel.
  4. Check themselves in, there are required fields which will prompt to be completed, if a webcam is available photos of the guest ID may be taken.
  5. Print the registration card or accept the registration card terms and conditions under Questions.
  6. After check-in the below features will be available:
    1. Send Message to property.
    2. View Messages.
    3. View/Print/Email Bill.
    4. View Property Information.
    5. Do a Survey.
  7. Questionnaires can be setup to be completed by guests as part of the check in procedure and a survey.
 2.2 Information
  1. Information pages can be added and customised to your property specifications.
  2. Examples of such pages are Property Layout, Breakfast menu and details, Restaurant menu, Spa, Gym, Activities, important Information, Covid-19 or Guest Safety Protocols.
  3. The Content will allow for rich text formatting for images, colours and fonts to be added.
Please Note
  1. Reception must make sure that rooms are allocated before the guest tries to check in.
  2. Configurable Information pages are available.
  3. To close the terminal screen in the last name field, in Guest services type in <space>close<space>
  4. A timeout can be set which reverts to the start page if there was no activity.
  5. Changes are logged in history as SST.
