Apex Guest Messages

This function will allow reception to leave messages for guests that can be kept and saved for the guest, these messages can be delivered to the guest via Self Service, printed message or verbally upon check in/out or when they come to the reception desk.

1. Adding messages
  1. Select Guest Reservation where message needs to be added.
  2. Select Messages icon on Reservation screen.
  3. Click on the "Add" button.
  4. Complete FROM, FOR, PHONE NUMBER, LOCATION.
  5. Tick the relevant options URGENT, PLEASE CALL BACK, WILL CALL BACK, DISPLAY ON CHECK IN, DISPLAY ON CHECK OUT.
  6. Type in Message (Ensure the message is clear if the guest or front desk agent needs to read this).
  7. Click on the "Save" button.
  8. Options which will be available are to Edit, Delete, Print Message, Deliver Message.
  9. If message is ticked to display on Check-In or Out, when the guest checks in/Out the message will display when either option is selected.
2. To retrieve a message
  1. Select the guest reservation.
  2. A Green Tick will display on message icon on reservation screen if there is a message.
  3. Click on Message Icon.
  4. List of Message/s will display.
  5. Select the message and either print or verbally give message.
  6. Click on delivered once message has been received by guest.

Please Note
  1. There is no functionality to specify a date and time the message needs to be delivered, a reminder can be created for Front Office.
  2. A Green Tick will display on guest reservation on messages icon if there is a message.
  3. The Print Message format can be amended or added, please contact your Client Success Team for changes.
  4. The message will only display on the guest reservation
  5. The message will display the date and time and the employee who created the message
  6. It will display the date and time and employee who delivered the message
  7. If the message was received by the Guest at the Self Service Station then it will display employee SST.
