How do I create a Cancellation Policy in NebulaCRS?

A Cancellation policy is to ensure that a fee is applied if a booking is cancelled within the penalty period.

There are two steps involved when setting up the cancellation policy or editing an existing policy- Cancellation Policy and Validity.
If a new policy is being created then click on "New", if the policy is being edited, then select the policy and update the details

The Cancellation Policy and Validity setup on NebulaCRS, can be found under the Revenue Tab.

1. Cancellation Policy
  1. Click on the "New" button.
  2. Give the Policy a code and a Name that users will be able to identify.
  3. Click on the "Save" button.
Cancellation Rules
  1. Days: Specify the number of days prior to arrival the fee must be applied.
  2. Calculation: There are two options:
    1. First Nights accommodation based: This will take the value of the first nights accommodation as the penalty.
    2. Percentage based: Calculates the percentage of the accommodation amount as the cancellation fee payable
  3. Cancel Fee: Specify the percentage value to be charged if cancelled within the days parameter. If the First Night's accommodation calculation is applied, this field is not applicable. The percentage symbol should not be entered only the value. You may add more rules according to how your cancellation fees are calculated. Eg. 1-15 Days 100% Fee is applied. 16-30 Days 50% is applied.  31-45 days 25% is applied. The 1st Rule will be 15 days with 100%, 2nd Rule Will be 30 days with 50% and 3rd will be 45 Days with 100%
2. Cancellation Validity
The cancellation validity will determine the dates the policy will apply, the rate code, the properties it is applicable to, the reservation type and source the policy will apply to.
The validity is important as the system needs to know to whom and where the policy will be applicable to. If no validity period is created then the policy setup will not apply.
  1. To add a Validity, click on the "New" button.
  2. To edit the Validity, select the validity period and edit the fields.
Fields
  1. Start Date: Validity Start Date.
  2. End Date: Validity End Date.
  3. Cancellation Policy: Select the cancellation policy from the drop down list which will be applied.
  4. Individual: Will this be applied to individual reservation, tick this box.
  5. Group: Will this be applied to group reservation, tick this box.
  6. Rate Code: Tick the rate codes this policy will apply to, if "All" leave unticked.
  7. Hotel: Tick the properties this policy will apply to, if "All" leave unticked.
  8. Source: Tick the source code this policy will apply to, if "All" leave unticked.
Please note
  1. On a reservation the strictest Cancellation policy will apply. This can be overridden on CRS level but not through the API, a user right is required to override the Cancellation policy on the reservation when cancelling.
  2. In terms of the Group Cancellation Flag, the reservation must be flagged as group and not individual. To see the group flag on the reservation look at the itinerary line, on the bottom right where the Unit Breakdown displays it will specify whether it is individual or group.
  3. If new Source codes or Properties are created, ensure that a Cancellation policy is applied to the newly created Source code or Property.
  4. When an existing Cancellation policy is edited, the cancellation rules will apply to all bookings which will be impacted by the policy, existing and new bookings.
  5. Take note of the Cancellation end date, if this expires then the Cancellation policy will no longer apply.
  6. If the number of days is more, do not exceed 999 days as this will affect Booknow and the APIs.
