How do I create a Deposit Policy in NebulaPMS?

Deposit Policy is way of ensuring that a deposit amount will be received in order to guarantee a reservation.

Reservationists can follow up on deposits due for reservations, according to the deposit policy assigned to the reservation.
Front desk will be able to see how much the Guest has pre-paid and if there is deposit outstanding upon check in.
The are two areas involved in the Deposit policy, the first being the deposit policy and second the deposit policy validity.

To Create a deposit policy in NebulaPMS:

1. Creating Deposit Policy
  1. Navigate to Settings -> Reservation -> Deposit.
  2. Click on Add.
  3. Give the Deposit policy a code and name.
  4. Tick if pre-payment ** Future Development.
  5. Click on Create.
  6. A new screen will appear where the deposit rules and validity can be entered.
Deposit Policy Rules
The deposit rules will determine how the deposit amounts should be calculated.
Multiple Rules can be added for the deposit rule.
  1. Click on Add.
  2. Days - Specify the number of days.
  3. Type - Specify the type either "From Reservation" or "Prior To Arrival".
  4. Calculation - Percentage, Amount or First Nights Accommodation.
  5. Amount - if Amount or Percentage is selected in the calculation. Leave as 0.00 if First Nights Accommodation.
When adding multiple rules take note of the following:
  1. Percentage amounts do not add up to more than 100%.
  2. It is not recommended to combine different calculations on the same deposit policy. If were to combine percentage and amount or percentage and first nights accommodation, the amount due may be more than the reservation itself.
2. Deposit Validity
This field is optional. Dependent on property rules some may have stricter deposit polices during peak periods and the regular deposit policy during non peak periods.
The validity can be used to control when the deposit rule should occur.
When a user selects the deposit policy and does not meet the validity period, then an error stating "The selected Deposit policy not valid for those dates" will display and the user will need to select another deposit policy.
  1. To add a validity period click on Add.
  2. Input the From Date (Start Date).
  3. Input the To Date (End Date).
