How do I create an Inventory Closeout in NebulaCRS?

In order to create an Inventory Closeout the below steps need to be followed:
1. Inventory Closeouts
The Inventory menu option allows for the closeout of Inventory by day or period. The administrator may therefor allow Hotel Managers (at Hotel / Property level) to close out inventory in line with the group Yielding strategy.

The term Closeout refers to the closeout of Inventory, or making it unavailable for sale on the reservation front-end, and in turn, this instruction to close out Inventory will be fed through to the ADSs and GDSs linked to eRes. The Inventory may be closed or limited for a number of reasons some of which may include:
  1. Hotel / Property closed completely for maintenance;
  1. Hotel / Property renovations;
  1. Hotel / Property partially closed.
NebulaCRS allows for different types of Closeouts as there are clearly different scenarios where this functionality could be applied. These are:
  1. Closed Out Inventory completely.
  1. Limited Inventory.
  1. Open Inventory.
Inventory Display Effect
Meaning
Close Out
Inventory is Closed out completely. Inventory reduce to zero on the Inventory display on the reservation front-end.
Limit
Inventory is limited to a certain number. The Inventory on the reservation front-end is reduced to the same number; the remainder of the inventory is held separately and cannot be sold until Opened.
Open
Inventory is completely Open. When Open is applied, all previously Closed out inventory is released back and the inventory display figure increases to the actual amount of rooms available for sale.


1.1 Inventory Closeout by Date
When doing an Inventory Closeout, Inventory is Closed out completely. 
  1. To perform an Inventory Closeout by Date select the relevant Hotel, Room Type/Inventory and From and To date. The Hotel and Inventory selection will populate a list of Hotels and Inventory to choose from.
  1. Once the selection has been made the selected Room Type will be highlighted in green. The user can now click on the "Close" button to apply the Closeout setting.
1.2 Inventory Closeout by Day
  1. To perform an Inventory Closeout by Date select the relevant Hotel, Room Type/Inventory and From and To date, as well as the Days of the Week. 
  1. Once the selection has been made the selected Room Type will be highlighted in green. The user can now click on the "Close" button to apply the Closeout setting.
  1. Please Note the days that are closed out on the Density Chart.
1.3 Inventory Limit Set
When doing an Inventory Limit Closeout, inventory is limited to a certain number. The inventory on the reservation front-end is reduced to the same number; the remainder of the inventory is held separately and cannot be sold until Opened.
  1. To perform an Inventory Limit Closeout select the relevant Hotel, Room Type / Inventory and the From and To date.
  1. Thereafter enter the Limit, the amount of rooms that the Room Type should be limited to.
  1. Once the selection has been made click on the "Set" button to apply the Limit setting.
Please Note
  1. Should a PMS be the Availability master the above limits will be overridden by the availability on the PMS.
  1. Using limits the PMS will override the availability and eRes/NebulaCRS will recalculate the limits taking into account the availability received from the PMS. If the availability received from the PMS is more than the limit eg.18 units, then eRes will set the units available back to limit of 10, even if there are rooms already booked. If the availability was 8 units then eRes will set that as the availability as it is less than the limit of 10.
  1. If the PMS does not update availability (eRes/NebulaCRS is Master) or there is no PMS connected, the limit set will factor in the number of units booked. Eg the limit set is 10 units, there are 4 units booked then the availability will be 6 units.
