How do I fix an incorrect amount Charged on an invoice in NebulaPMS?
In order to fix an incorrect amount Charged on an invoice in NebulaPMS please follow the below steps:
- In order to reverse an amount that was charged incorrectly, open the specific reservation and click on the "Invoice" tab. Note that Supervisor Authorisation is required to perform this action. Please See Employee Roles and Rights for authorization.
- Next select the amount that was incorrectly charged the line item will be highlighted in grey.
- Click on the "Correction" button and confirm the correction by selecting "Yes" on the confirmation window.
- The Supervisor Authorisation window will appear, click on the "Confirm" button to correct the charge.
- The transaction will be corrected and greyed out on the invoice. The corrected amount will automatically have reduced the total of the invoice.
- A transaction can only be corrected on the date it is posted, should the error be discovered the following day (after end of day) an adjustment needs to take place. Please see below for adjustment instructions.
- An Adjustment corrects a posting error after end of day (night audit). Such an error will be entered separately into the accounting records of the appropriate revenue centers thereby also correcting their accounting records.
- This action requires Supervisor Authorisation.
- In order to reverse an amount that was charged incorrectly, open the specific reservation and click on the "Invoice" tab.
- Next, select the charge amount that was incorrectly charged, the line item will be highlighted in grey.
- Click on the "Adjustment" button and enter your supervisor password.
- Thereafter the folio adjustment window will appear. Please ensure that the information is captured correctly especially the charge code that needs to be adjusted.
- Next enter the adjustment reference and click on the "Post" button to proceed.
- Once the adjustment has been posted it will appear in Red on the folio, the adjusted amount will be indicated with a (-) minus and the transaction will be flagged with the letter A.
- The adjusted amount will automatically have reduced the total of the folio.
3. Adjust the charge on a closed invoice
- Kindly note that adjusting the charge might result in affecting the revenue for possibly two months. You must pull a combined report for both months to confirm the revenue is balanced out - and advise your accountant of these changes accordingly.
- Open a new House Account and capture the same details as per the invoice in question (Guest details etc.)
- Once the details have been captured, click on the save button then navigate to the invoice tab and click on the adjustment button.
- Select the charge code, the reference and comment can be the details of the invoice that you are correcting.
- The amount can be from the closed invoice, in question
- Once the adjustment has been posted, click on the 'Pay' button to write off the outstanding amount on the invoice as the House account must be on 0.00 before it can be closed.
