How to add and use Room Descriptors in Apex

Room Description codes are used in the reservations process to distinguish between unique features in the room. This can be achieved by adding Descriptors on the Room Number configuration page.

The system administrator with rights to add/edit room description codes as well as room numbers can configure this.

Step 1 - Add the Room Descriptors
You first need to build the descriptors.
Navigate to: Administration  > Reservation codes  > Room codes  >  Room description codes
  1. Click on Add
  2. Enter a CODE and Description
  3. Click on Save


Step 2 - Assign the Room Descriptors
After the descriptor codes are configured, you need to assign them to the room numbers.
Navigate to: Administration  > Reservation codes  > Room codes  > Room numbers.
  1. Select the applicable room in the left-hand column.
  2. Click on Change
  3. Assign the descriptors under the "General" tab (up to 10 descriptors can be assigned)
  4. Click on Save
 
 

Step 3 - View the Descriptors from the Room Rack
Receptionists use the Room Rack page each day to process the flow of reservations.
Access to Room Rack via the fast bar OR Navigate to: Processing > Reception > Room Rack
  1. Hover your mouse cursor over a room number
  2. A pop-up will appear with the room number's information. Including that room's descriptors.
Only the Descriptor CODES will be displayed, not the full descriptions. For example,  "Descriptors = GARD".
