How do I add a new Employee in PlusCentral?

In order to add a new Employee in PlusCentral please see the following steps below:
  1. To add a new employee click on General Administration -> Employee Codes. 
1. Employee Details
Next click on the "Add" button and enter the following:
  1. Code: The Code can be between 1 to 4 characters, this is also the user code when logging into PlusCentral and usually the initials of the employee. Please do not use any spaces or special characters. All transactions made by the employee will display this ID.
  1. Description: The name and surname of the employee.
  1. Password: An alpha numerical password of 10 characters can be used.
  1. POS Access Code:  This will be a Numerical Point of Sale password, up to 5 characters accepted. Using 5 character long access code is preferred,as the operator will not be required to press the enter button when logging in.
  1. Card Swipe Number:  When using a Swipe card to access the Point of Sale the card will need to swiped and the first and last characters need to be removed from the code that will appear on the screen. This will then be the swipe card numbers and will register the card to the employee for transaction identification when used. The swipe number length can be up to 40 characters.
  1. Position and Property: Should employees be linked to different properties it can be specified by linking the employee to the property.
  1. Override Group Commission: The percentage used to calculate the commission will be taken from the employee configuration (as defined below) and not the revenue grouping.
  1. Commission percentage for all groups: When the above mentioned is activated the system needs to calculate a specific percentage from the total sale, enter the commission percentage on the goods sold in this field. 
  1. Open Spa Day Calendar View:  Used in the Spa Module, the system will default to Day Calendar View.
  1. Workstation to use for Remote: Used for Multi-Property PlusCentral configuration. 
  1. Fingerprint Access: Should fingerprint readers be used such as Digital Persona tick the fingerprint reader field and click in the Registered Finger field. A Registration window will appear and the user will need to click on the finger that will be used for the fingerprint. 
Once all the information has been entered click the "Save" button to save the new employee information. 
2. Access
User rights for both PlusCentral and the Point of Sale is allocated on this page, ticking the boxes next to the access menus in the system will grant the employee access.
  1. The System Administrators will have all ticks activated.
  1. Waiters and barmen using only the Point of Sale and NO managerial control and no access to PlusCentral should have NO ticks activated on the entire screen.
  1. Restaurant and Bar floor supervisors will have the Low Level Supervisor tick set which will enable the supervisor to transfer transactions, print shift readings, open the cash drawer, enable staff and happy hour pricing, view all the open tables and change/transfer employees from invoices. They will NOT be able to Void transactions.
  1. The Assistant F&B Manager or Restaurant Manager must have the Low Level and High Level Supervisor tick activated, this will enable the manager to do Voids, process the discounts and run the End of day.
  1. To give users access to only specific Reports, tick the boxes next to the report fields (situated at the bottom of the screen) appropriate for the user to view.
  1. When the Master Cashier tick has been activated the user will be able to view all open tables for an outlet without activating the "View All Tables" settings from the control menu.
  1. When the Stock Supervisor tick has been activated make sure that the flag under System configuration to force the stock supervisor to allow committing of deliveries if the control total does not balance, is also ticked as these settings work hand in hand.
  1. The No Order, No Delivery, No Requisition Commit flags will not allow an employee to commit orders, deliveries and requisitions in the system, dependent upon which flag/flags are selected. The user's "commit" button on the processing screens will be unavailable. Please Note that the "I Need Requisitions" from PlusPoint outlets will not be affected by this setting, if it is set up on the outlet it will be available for use even if the Point of Sale user is set not to be allowed to commit requisitions.
  1. The No Order/Delivery Same ID flag will prevent the same user from capturing an order and delivery. This was added in order to prevent fraud.
  1. The No Shift Reading flag will prevent the user from viewing or printing the Shift Reading.
  1. The Member Accounts Transaction Transfers flag will allow the user to transfer transactions to other Member Account Statements. Should the flag not be ticked the user will not be able to transfer transactions.
3. POS Outlet/s Worked
  1. If an employee is granted access to work in more than one outlet, they will be asked to select an outlet each time they log in. If they have only been granted access to one outlet they will not get a choice and will be logged directly into that outlet.
  1. The user needs to add the outlet to the employee by clicking on the "Add Outlet" button. A window will appear listing the Outlets that have been built in the system with empty tick boxes next to them.
  1. Tick the appropriate boxes on the left of the screen to grant employee access to work from the outlet selected, remember to click on the "Save" button when done.
  1. To remove an Outlet from an employee, just click on the Outlet once (highlighted in blue) and click on the "Delete Outlet" button.
4. Payment Restrictions
  1. If an employee is not allowed to access certain Payment codes on the Point of Sale, for example if the employee is not allowed to do room charges, this payment code can be restricted.
  1. To add a restriction to the employee code select the employee profile and click on the "Add Pay Restriction" button.
  1. A window will appear listing the Payment codes that have been built in the system with empty tick boxes next to them.
  1. Tick the appropriate boxes on the left of the screen to restrict employees from accessing the Payment codes on the Point of Sale. Remember to click on the "Save" button when done.
5. Attendants
An attendant is a waiter/ barman working in an outlet but has no access to the system.  Please see the applicable article on how to add an attendant.
