How do I change my Tax/Vat percentage on NebulaCRS?


1. Introduction

Governments periodically update Tax or VAT rates, requiring businesses to adjust their systems accordingly. For properties using NebulaCRS, it is essential to update these tax settings correctly to ensure compliance and accurate financial reporting.

This guide is designed to assist System Administrators in updating Tax or VAT amounts within NebulaCRS. It will outline the correct procedures to implement the changes and explain how they affect past, current, and future bookings.

2. Operational Procedures

A new tax rule can be created with the start date being the date of the change. For example if the new tax amount change is starting on 1 April 2025 then the NEW tax rule should start on 1 April 2025. This tax rule can already be added prior to the change, the start date will control when the tax rule should start applying.

Warning
Do not delete or change the existing tax rule/s.

3. How to Add the new Tax Rule

  • On NebulaCRS Navigate to Inventory → Hotels

  • Select the property for which you need to add the tax rule:



  • Select the Tax Rules tab and click on the button. Enter the Start date, the Tax Type and the new percentage, thereafter select the button.

  • The start date can be set in the future for when the new tax rule should start applying. This start date will refer to reservations arriving from that date onwards.

4. What to expect after the Tax Rule Addition 

The following scenarios will apply to reservations made before, during, and after the tax rule change.

4.1 Reservations made before the change

All reservations made before the change will still reflect the old Tax percentage.

  • Note the Tax amount of 521.74. The original Tax rule was for 15%


However should the user make a financial change to the reservation for example extend the duration of the reservation or increase the number of rooms or adults, the reservation will then automatically update and assume the new Tax value should it fall within the new tax period

  • See the below example of a future reservation created before the New Tax Rule was added. This reservation falls within the change period but will only update after a financial change is made.

  • Note the Tax amount 521.74.

  • The Reservation is amended to 3 nights, the new Tax percentage is triggered and the change is reflected.

  • Note the Tax amount 805.19.


4.2 Reservations made after the change

All future reservations will immediately reflect the new Tax percentage without any added intervention.

  • In the below example the reservation is made for a future date, after the New Tax Rule was added. This reservation is in the period of the Tax change.

  • Please note the Tax amount of 268.40.

4.3 Reservations made over the VAT increase period

If a reservation is made after the Tax Rule is added, but this particular reservation falls between the dates of 29 March and 3 April, the system will apply the old Tax Rule to the reservation. See the below example.

  • Please note the VAT amount of 652.17.

5. Rates

Should clients need to change Rates to account for the new Tax percentage, Rates can be built as normal under Base Rates and then paint and publish their demand calendars accordingly.

6. Terms and Conditions

Word Templates

  • Where Word Templates such as the Pro-forma and Tax Invoices, indicate the old Tax percentage such as on the Terms and Conditions please get in touch with your Client Success Team in order for the templates to be updated. Templates will not be updated over weekends or after hours.

PDF Templates

  • Where PDF templates indicate the old Tax percentage such as on the Terms and Conditions:

    • On NebulaCRS Navigate to Content → Documents

  • Select the applicable template, then update the terms and conditions and then click on the button.

Call Center Web Templates

  • Where Call Center web templates indicate the old Tax percentage such as on the Terms and Conditions:

    • On Call Center Navigate to Email Template Editor

  • Select the applicable template, update the terms and conditions and click on the button.

Booknow (old)

  • Where BookNow terms and conditions reflect old Tax percentage this can be updated on the BookNow content manager Terms and Conditions field - NebulaLite clients, please contact the Client Success Team for assistance.

    • Navigate to BookNow old content manager

    • Select the applicable Site

    • Update the terms and conditions, then click on the button

    • Publish the changes

Booknow 2.0

  • Where BookNow 2.0 terms and conditions reflect old Tax percentage this can be updated on the BookNow content manager Terms and Conditions field on the Site Page - NebulaLite clients, please contact the Client Success Team for assistance.

    • Navigate to BookNow 2.0 content manager

    • Select the applicable Site

    • Update the terms and conditions, then click on the button.
